**How will you CONTRIBUTE and GROW?

The selection is aimed at identifying a person capable of covering the function of Document Controller to be included within the Capital Projects Team (CPT) department of Air Liquide SWE Cluster at the Milan or Priolo offices.


The Document Controller is responsible for ensuring that all documents within the projects are properly managed and organized, ensuring the flow of information and the necessary approval cycles between departments, engineering providers, vendors, subcontractors, etc.

in accordance with the project schedule.

The position reports to the Technical Services Leader and requires proven documentation management ability.


As part of the South West Europe Industrial Direction, the Capital Projects Team is in charge of the proposal and execution phases of major investments aiming to extend, enhance, renovate the industrial facilities owned and operated by the Air Liquide Group in the South West Europe (SWE) cluster countries.

The proposed position requires knowledge with a high technical content and proven documentation management ability.

Depending on the size and complexity of the projects, the Document Controller will be assigned to one or more jobs for which, with the support of the experts and technicians, she/he will have to carry out the following main tasks:

  • follow and improve document control procedures
- ensure all documentation meets formal requirements in terms of project format, document numbering, standard and need
- contacts all the various parties involved (customer, service or material suppliers, etc.) and indicates the methods to number and to exchange the documentation that each of them will adopt
- distributes the documents to the various parties involved for information/comment/approval indicating to each of them the times within which the comments/approvals must be returned
- sort, store, archive and retrieve electronic and hard copy documents
- solicit the various parties involved when they do not issue the documents according to the agreed deadlines
- update and maintain document management systems and physical records
- produce document progress reports
- conduct regular reviews and document audits
- distribute documents within project organization
- help in the planning stages for the project documentation schedule
- ensure documents are shared between all project involved parties according to the project Document Distribution Matrix
- ensure documents are shared between all project involved parties at due time to allow timely project completion
- maintain the security of confidential informations
- assist and train employees and the various parties involved for accessing documents through document management system and tools
- when department workload requires involving external document controlling specialists, the internal document controller will ensure the training, supervision and coordination of such external services providers.

**Are you a MATCH?

Profile
- minimum 3 years of experience in document management at engineering and contracting companies
- degree in management, engineering, economics or equivalent.
- knowledge of document management systems and tools
- detail-focused document organizing abilities
- able to proactively manage database changes using software management systems and tools
- fluency in Italian, English


Preferential qualification
