For an Italian global cruise line we are looking for IT Contract Management Specialist.


As a part of the IT Governance Team, the
_IT Contract Management Specialist _will help manage the life cycle of contracts from initial request to full execution, ensuring processing fluidity to meet business needs.

This role will work cross-functionally with Legal, Sourcing, Compliance, Finance, various Business Units, and our external vendors to execute contracts timely and compliantly.


This position will work closely with business partners throughout the Company to ensure the appropriate organization and maintenance of their IT dependent contracts.

The Contract Management Specialist will also help to improve and automate our processes, systems and controls; in order to more effectively negotiate and manage contracts.


From time to time, you may be required to assist with Cost controlling elements that overlap with our Contract Management processes and you will contribute to all phases of the Procure to Pay process, to enable approval by Senior Leadership, plus the monitoring and execution of payment to IT vendors.


KEY ACCOUNTABILITIES
Works with IT stakeholders to gain approval of PO's and Contracts needed to deliver IT operations

Contract Requests

  • Review and process requests for NDAs, Notice Letters Statements of Work, Amendments, Master Agreements, and License/Subscription agreements, ensuring adequate oversight
  • Actively manage contract requests, ensuring prompt transition through all the contacting stages, from initial review to full execution
  • Facilitate the contract execution process by collecting, elaborating and presenting the documents necessary for gaining approval from the Senior Leadership Team
  • Support functional teams on the Purchase Order and invoice issue resolution
  • Assist with onboarding new vendors to the contracting process by updating their data to our contracting tool, developing vendor relationships, and providing them with templates
  • Provides excellent customer service to internal and external customers

Vendor Management

  • Assist with onboarding new vendors to the contracting process by updating their data to our contracting tool, developing vendor relationships, and providing them with templates
  • Support the monitoring of vendor productivity and quality of performance against contractual obligations to ensure overall effectiveness of vendor provided services
  • Support the reporting of vendor performance against contractual service level agreements through vendor performance dashboards, scorecards and/or reports
  • Execute ad hoc projects based on team needs

Contract Organization and Maintenance

  • Managing, organizing, and storing electronic versions of all contracts and other documents in the current TEAMS based or any other future filing system
  • Entering key contract information into TEAMS based contract management system
  • Retrieving and providing copies of contracts and other documents upon request
  • Ensuring that contracts are executed properly and uploaded in a timely manner to the contract management system
  • Provide support to document the status of IT contracts from request; legal review and drafting through to vendor negotiation, internal approval and contract finalization.
  • Providing regular reports on contracting volumes & durations to provide the benchmarks needed for continuous process improvement and identification of key points of attention
  • Working with the Controlling teams for automation of current processes in order to provide adequate analysis for business and strategic decision making

QUALIFICATIONS (skills, competencies, experience)

  • At least 2years of experience in contract management/administration/negotiation;
  • Bachelor's Degree in IT, Computer Science, Business Management, Management Information Systems or similar; (Legal or Contract Management qualification is a plus but is not essential)
  • Ability to handle confidential and proprietary information using excellent discretion and judgment
  • Experience managing a variety of contract types. Experience with contract management SW a plus
  • Flexible, but Detail oriented and able to Multitask, with solid Analytical, Problem solving, Project management and Organizational skills
  • Excellent communication and relationship skills. Able to partner and influence at different levels
  • Fluent in English, any of French, German, Italian would be an advantage.
