Your role:


We are looking for a Receptionist who will report into our Travel & General Affairs Coordinator and will be the first point of contact for our company, offering support across our organization.

You will welcome guests positively and greet people who visit the business.

You will also execute front-desk activities, including redirecting phone calls, booking taxis and blue cars, and managing pool cars booking.


What you will do:


  • Greet and welcome guests as soon as they arrive at the office
  • Direct visitors to the appropriate person and office
  • Answer, screen and forward incoming phone calls using telecommunication system via console
  • Ensure reception area and all the meeting rooms are tidy and presentable, with all necessary stationery and material (e.g. pens, block notes)
  • Order front office supplies and keep inventory of stock
  • Control access via the reception desk (green pass and temperature control, issue visitor badges)
  • Arrange taxis and blue cars
  • Manage pool cars booking and control their conditions
  • Support the Travel office in train reservations
  • Perform other clerical receptionist duties such as filing, photocopying, transcribing, and faxing

Experience & qualifications you will bring:

  • High school diploma (additional certification in Office Management is a plus)
  • Proven work experience as a Receptionist, Front Office Representative or similar roles
  • Handson experience with office equipment (e.g. printers)
  • Familiarity with phone systems
  • Professional attitude and appearance
  • Solid written and verbal communication skills
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and timemanagement skills
  • Flexibility
  • Customer service attitude
  • Fluent in English (both written and spoken) and Italian.

Additional information:

This role may require working in shifts, so flexibility is required. Our opening hours are from 8:00 am until 7:00 pm.
