As an Event and Business Operations Specialist, you will be responsible for the management of all the necessary information to ensure the correct and timely organization of internal and external events, according to Group's and local requirements


You will work closely the Legal e Compliance, Sales and Finance teams supporting them and coordinating the logistics, organizational and bureaucratic aspects related to the events.


In this role, a typical day will include:

  • Supporting the planning, the implantation and organization of Local and international Advisory board, Franchise events, Alcon Academy, proposing the best solutions according to Group's and local requirements and regulations
  • Collecting and preparing the documentation requested to approve internal events
  • Coordinating and managing the organization of the National & Area Meetings.
  • Selecting external agencies and coordinating the logistics and all the information requested to plan and organize the event
  • Coordinating speakers' engagement process (Healthcare Professionals & Eyecare Professionals)
  • Collecting the mandatory documentation from sponsored participants or speakers within the given deadlines
  • Managing the approval phases with the corporate tools
  • Providing operational support to the Franchises and functions activities such as, but not limited to: marketing materials, budget control, purchase orders, travel & expenses related to Leadership team members;
  • Supporting the Events & Internal Communication Manager in the CSR activities.
  • Backing up other team members for congresses support activities

WHAT YOU'LL BRING TO ALCON:

  • High School Diploma (university degree or equivalent is preferred)
  • 2/3 years' experience in a similar role (previous experience in Medical device/pharma context is a plus)
  • Excellent knowledge in English and Italian
  • Proficiency in MS office package and other webbased tools
  • Ability to work in team
  • Strong time management skills
  • Strong multitasking & organizational skills: have an overall project vision always keeping operations and attention to details in mind to achieve goals with integrity
  • Problem solving: have the ability to turn a problem into an opportunity
  • Good communication skills with different stakeholders
  • Ability to understand internal and external customers' needs: have an emphatic and proactive approach
