Business Administration Manager
We are looking for a Business Administration Manager interacts with internal employees at all levels of the organization. Interacts with Management team.

Begins to understand how to handle HR system problems and works to solve issues, and provide advice to employees and department on scope of work assigned.


Job description:


General admin Support:


  • Provide admin support if required for Finance and other service when necessary during merge process
  • Organizes and supervises all travel arrangements, supply ordering and inventory, record and file retention, and other related general office duties
  • Establishing and managing vendor contracts, including but not limited to negotiating rates for services and coverage upon renewal

Compliance and Reporting:


  • Ensures legal compliance by monitoring and implementing applicable requirements. Ensure accurate and timely reporting against both country and TechnipFMC.

Recruitment & on boarding:


  • Prepare employee contracts and letters of offer/rejection
  • Ensure job descriptions are complete and uptodate
  • Coordinate new start process, collect and monitor induction plans
  • Send out probation reminders to line managers and escalate any issue
  • Manage selection process and administration for all agency temps
  • Act as main point of contact for temporary placements agencies

Training:


  • Maintain employee training records in ILearn
  • Send feedback evaluation forms after each training session
  • Organize or book local training courses when appropriate
  • Follow up using FONDIRIGENTI, FONDIMPRESA
  • Contact with local providers for trainings

HR Administration:


  • Prepares documentation and data for the salary review process
  • Prepares documentation and data for the bonus administration campaigns
  • Prepare employee letters in relation to any salary or contract adjustments
  • Handle annual Loyalty Awards sending invitations to relevant employees with order form for gift selection and ordering gifts
  • Maintain and update Italy HR policies when appropriate
  • Prepare termination and transfer agreements
  • Ensure relations with Trade Unions if required
  • Management of Car leasing
  • Maintain and update HRIS (SAP) employee records with any employee or organizational changes, conduct appropriate audits to ensure data integrity.

Works closely with Human Resources in Sens and GBS for updating of data

Payroll Administration and Control:


  • Act as first point of contact for employees for time & attendance and payroll
  • Act as main point of contact for our payroll provider (Studio Ziveri)
  • Control and follow up of variable part of payroll
  • Process payroll and maintain payroll information as required
  • Prepare and maintain related payroll records and reports
  • Provide necessary reporting for Finance

You are meant for this job if:

  • Bachelor's degree in Business Administration, Human Resource Management or a related field preferred but not obligatory.
  • PC Skills including proficiency in word processing, spreadsheet and database.
  • SAP knowledge and Payroll software PAGHEONLINE (Studio Ziveri payroll provider) experience is a plus but not mandatory.
  • Strong interpersonal skills with the ability to communicate with all levels of TecnipFMC personnel, as well as external suppliers and organizations.
  • Ability to maintain confidentiality with sensitive data.
  • Excellent organization and time management skills to handle multiple tasks in an environment with large volumes of data and paperwork.
  • Attention to detail.
