For our client, Imperial Brands, leader company in Tobacco Industry we are looking for aExecutive Personal Assistant
Mission:
The role involves the executive and strategic support of all management needs from collaboration in process development to the proactive management of General Manager, offices and agendas.
Responsibilities:
- Organize the office layout and order stationery and equipment
- Organize office operations and procedures
- Schedule meetings and appointments
- Provide general support to visitors
- Partner with HR, IT and Administration Departments to update and maintain office policies and office equipments as necessary
- Address employees queries regarding office management issues (e.g. stationery, hardware and travel arrangements)
- Manage contract and price negotiations with office vendors, service providers and office lease
- Liaise with facility management vendors, including cleaning, catering and security services
- Assist in the onboarding process for new hires
- Plan inhouse or offsite activities, like parties, celebrations and conferences
Requirements:
-
5+ proven experience as an Office Manager, Front Office Manager or Administrative/Personal Assistant in international high standing environments
- Proficiency in MS Office (MS Excel, Power Point and MS Outlook, in particular)
- Excellent time management skills and ability to multitask and prioritize work
- Attention to detail and problemsolving skills
- Excellent written and verbal communication skills, assertive
- Strong organizational and planning skills in a fastpaced environment, straightforward
- A creative mind with an ability to suggest improvements
- High level of energy, strong sense of commitment, results drive
Full working proficiency in English is required:
- Bachelor's degree is desirable
