We are looking for an Executive Assistant to provide support and assistance to the Managing Director and to top level executives.
Main Activities
- Deals with complex administrative and organizational assignments and independently takes care of general administrative tasks, and relatively demanding processes.
- Arranges correspondence, coordinating or drafting presentations, tables, reports and contracts.
- Deals with and replying to correspondence on behalf of the Managing Director.
- Gathers documents to prepare for meetings.
- Participates and taking minutes in meetings with the team when requested.
- Updates calendars.
- Schedules meetings for the department, send meeting or events invitations to concerned people.
- Coordinates the information flow and cascade to the team members as appropriate.
- Travel arrangements (organize flights, accommodation, pick ups, appointments).
- Supports managers with expense reports.
- Files and organizes documents.
- Informs, advises and supports the team and associates from outside the team on processes, guidelines and services that are specific to the department.
- Independently collects and consolidates for data/feedbacks from outbound and inbound.
- Acts as interface between the Managing Director and the other departments, managing incoming requests on behalf of the Managing Director.
- Collaborates with the Communication team participating in the organization of events and supporting events logistics.
- Initiates new processes or modifies of processes and coordinates the introduction of new or modified processes.
- Acts as project coordinator/manager for administrative projects (design, planning, implementation, communication, etc.) or ad hoc ones related to specific functions.
- Mentors new employees or apprentices or assumes a limited project coordination/management role.
Desired Qualifications
- High School diploma or Degree
- Fluent Italian and English. French is a plus.
- 3 years (min) of proven experience in the role
- Excellent time management skills and ability to multitask and prioritize work
- Strong organizational and planning skills, with attention to details
- Proficient in MS Office
- Excellent interpersonal and communication skills
