The Ortus Club is an b2b marketing company specialised in virtual and in-person knowledge-sharing events.

We run approximately 50 events a month globally for our clients and help them create environments that can start meaningful business relationships.

The Role


The Ortus Club is looking for a high-performing Head of Events to join its events team and help maximise the company's operations by partnering with suppliers cost-effectively and on time.

You will be managing a team of 6, remotely and will be responsible for company spend, quarterly reporting and negotiation.


Location:
Must be based in Rome
. Availability to travel to event locations (mainly across Europe and NA).


Main goals

  • Manage the events team by running regular check ins, setting measurable KPIs, and guiding them through their tasks
  • Ensure that all events comply with company branding, standards and budgets
  • Maximise our company's operations by partnering with suppliers
  • Report directly to the management team and making sure all quarterly reports are up to date

Responsibilities

  • Handle all venue bookings and negotiations, supervise all event operations, and ensure that selected options comply with company standards
  • Strive to continuously find new ways to improve our venue selection and management process
  • Deliver expected client/guest experience as detailed by event brief on strict deadlines
  • Estimate costs and submit budget statistics for finance approval and tracking
  • Verify receipts/invoices of all materials that must arrive for the event including gifts, printed materials, AV equipment, order forms, and other supplies necessary for the events
  • Conduct regular check in with different departments, predominantly sales and finance
  • Conduct training sessions with team members and constantly improve internal processes
  • Communicate with the management team and update all quarterly reports
  • Develop and maintain longlasting relationships with our venue partners and other suppliers
  • Travel to various event locations and act as MoC and/or assist in event coordination

Qualifications

  • Must be extremely versatile with excel
  • Must have experience managing a team, ideally remotely
  • Works well under pressure and ensures highquality work on strict deadlines
  • Confident and calm problem solver
  • Strong attention to detail and strong commercial flair
  • Impeccable grammar and excellent presentation skills
  • Fluency in English, with proficiency in a second language bring a plus
  • Minimum of 2 years experience in events coordination or financial role
