Office Administrative Assistant - Job Description
The Office Administrative Assistant will perform a variety of routine clerical duties, among which:

  • enter purchase orders data in the management system,
- provide support to team members and Clients in general administrative activities.


Responsibilities:


  • Enter purchase orders data in the management system.
  • Manage the office document and digital archives.
  • Keep track of representative agreements expiring dates.
  • Support preparation and release of invoices, maintain Client databases, track accounts, assist with checking out and distributing production orders.
  • Support credit collection activities.
  • Act as the point of contact for Clients and buyers.
  • Collaborate with colleagues and Clients to ensure buyers' satisfaction.
  • Assist in the preparation of regularly scheduled reports.
  • Coordinate office activities and operations to secure compliance with company policies.
  • Manage clerical tasks, phone calls, mail, photocopy.
  • Track stocks of office supplies and place orders when necessary.
  • Maintain archives, both paperwork and digital.
  • Greet and support visitors.
  • Manage travel authorizations/arrangements and expenses reports.
  • Maintain relationships with vendors, service providers and landlord.

Requirements:


  • Fluency in both English and Italian languages an essential must.
  • Patience and ability to manage stress.
  • Proven office management, administrative and assistant experience.
  • Knowledge of office management systems and procedures.
  • Time management skills and ability to multitask and prioritize work.
  • Attention to detail and problemsolving skills.
  • Excellent written and verbal communication skills.
  • Knowledge of accounting, data and administrative practices and procedures.
  • Knowledge of clerical practices and procedures.
  • Computer skills and knowledge of office software packages and general databases
  • High school diploma, associate/bachelor's degree a plus.
