Key Tasks and Responsibilities
In your role as Client liaison, you will be required to carry out the following:

  • First point of contact for all visitors to the office
  • Answer the telephone and respond to general queries and direct calls where appropriate. Take notes of names/phone. Give support to the specialists from other locations coming for clients visits.
  • Take bid registration from clients and over the telephone
  • Maintain the office's general appearance, tidy up where necessary and keeping the office presentable.
  • Order office supplies and packing materials.
  • Organise and maintain the office files and catalogue archives.
  • Ensure post is brought to the post office on a weekly basis
  • Build client database: entering new client details on A
  • Add appropriate interest codes to clients if appropriate contact to client
  • Represent the department/Bonhams in general, with the aim of sourcing profitable business for the company from the region and to promote Bonhams services and sales.
  • Update the Bonhams local page with the valuation days data in A
  • Create contract in A3: set contract to prepare, insert sourcing office/business getter/representative and add in consignment terms to special instructions.
  • Associate items and add to contracts. Ensure import tax is correct for every item. Generate contracts.
  • Insert bank details to 'payee' on client account and link to contract in A
  • Compliance: check if all ID/POA/Seller payment details are up to date and if not required copies from consignor.
  • Send contract to vendor to be signed.
  • Photograph all items and measure items if necessary to prepare for shipping.
  • Organise photography on location with external photographer for catalogue images.
  • Send all signed contracts to relevant department.
  • Add contract to consignment sheet: adding sale date/shipping date/payment date.
  • Liaise with the Ministry of Culture/Cites/Shippers/Department to arrange the appropriate export licences and import/export documents where necessary.
  • Prepare booking sheet for shipper.
  • Create proforma invoices: including descriptions of items, images of the objects and HS codes.
  • Overseeing the safe packing and transit of property to and from the office to other parts of the Bonhams network or client addresses.
  • Inform relevant department with shipment arrival date.
  • Send proforma invoices to shipper.
  • Organise return shipment with all relevant paperwork for BI items.
  • Inspect all returned incoming items.
  • Assist in sending sale announcements and/or condition reports to relevant clients prior to sales.
  • Help and assist to any social media content to promote the Bonhams Employer Brand
  • Forward invoices to accounts/ Code invoices in Ebis/ File invoices.
  • Create spreadsheet of all invoices and keeping track of coding process.
  • Manage results on consignment spreadsheets.
  • Create spreadsheet with BI lots and liaise with departments/clients with regards to reoffering or return.
  • Keep track of expiry date TA for unsold or returned items.
  • Keep track of late/outstanding payments.
  • Schedule collections in the office: manage location transfers in A
  • Manage and maintain database of clients in A3: keeping client information up to date: manage addresses/add missing data in. Responding to enquiries from departments in London and elsewhere

Required Skills:

You have a communication or business administration education background, you are speaking fluently Italian and English. A third additional language will be a plus.

  • You are eager to learn about the art auction business and you have an agile mindset.
  • You have a good command on social media
  • Computer literate with experience of MS office and Outlook
  • Excellent interpersonal and communication skills
  • Flexible team player Able to work on your own as well as part of a team
