JOB MISSION


To provide courteous, professional, and efficient welcome to all visitors and clients who come into contact with the company; to welcome guests contributing to introducing them to the company adding therefore value to the corporate's image and reputation.


DESCRIPTION AND KEY RESPONSIBILITIES OF THE ROLE
To provide friendly and professional welcome to visitors, clients, and employees entering the building.
To answer incoming calls, directing them to the appropriate offices, or taking detailed messages accurately and courteously.
To manage bookings for meeting rooms, company cars, car rentals, and other services offered by the company.
To provide basic information about the company's services, directions, and other frequently asked questions.

To offer courteous and professional assistance to visitors, clients, and staff members, addressing inquiries, and providing information or assistance as needed to enhance the overall experience.

To sort incoming and outgoing mail, distributing it to the appropriate recipients, and managing shipments and deliveries.
To provide administrative support, such as calendar management, data entry, keeping accurate records and document preparation as needed.
To handle company tours according to internal rules and procedures and communicating effectively values and key projects.

To manage office logistics such as ordering supplies, coordinating maintenance services, and ensuring proper functioning of equipment to create a conducive and well-equipped work environment.

To serve as a central point of contact for internal and external communication, ensuring effective communication channels are in place, and conveying messages and information accurately and promptly.

To provide basic technical support for office equipment.

To identify opportunities to improve office processes and procedures, streamlining workflows, and implementing best practices to enhance efficiency and productivity.


PERSON SPECIFICATION AND REQUIREMENTS
Degree or bachelor's Degree in business administration, office management, or a related field can be a plus.
Previous experience in an administrative role, such as administrative assistant, receptionist, or office clerk, is preferred.
Experience specifically in office management or related roles can be advantageous.
Organizational Skills and attention to detail.
Communication Skills and customer service orientation.
Problem-Solving and aptability.
Confidentiality.


Languages:
Italian, English, French.

Availability to work on shifts and occasionally in the evening or during the weekend.
