OVERVIEW/SUMMARY OF DUTIES

Overview of the Role
The Human Resources assistant assists with the administration of the day-to-day operations of the human resources functions and duties The HR assistant carries out responsibilities in some or all of the following functional areas: HRIS employee relations training and development compensation & benefits recruitment employment administration and procedures


Key Responsibilities
The HR assistant has partial responsibility for these areas:

  • recruiting and staffing logistics;
- performance management and improvement tracking systems;
- employee orientation development and training logistics and recordkeeping;
- assisting with employee relations;

  • 1st level company employee communication;
- compensation and benefits administration and record ke-eping; maintaining employee files and the HR filing and information system;

  • Assisting with the daytoday efficient operation of the HR department
The Human Resources assistant helps with the implementation of services policies and programs through HR staff; reports to the HR BP or HR Specialist (to be defined according to the department structure) and assists company managers and employees with first level HR topics and issues The support will be given in the following tasks and activities:

Administration tasks

  • Followsup and maintains the HRIS database administrative information Follows up on data entry from Employees to ensure the accurate employee contact information
  • Periodically audits the database to ensure accuracy
  • Keeps employee records uptodate by processing employee status changes in a timely manner
  • Monthly Headcount reports to Budget & Control Supports in the Employment Contract generation Supports in the employment Contract termination
  • SDTC Supports in the updates monthly payroll data
  • Supports in the implementation and operating of absence management Employee insurance affiliation
  • 1st level administrative staff requests
  • 1st level documentation preparation for HR team 1st level Employees relations and administration

Recruitment & Employment

  • Advertises under supervision of the HR specialist and HR Business Partner employee job openings internally and externally in keeping up with company recruitment policies
  • Supports the HR team in the administration of relations with the Employment Authorities
  • Schedules interviews and recruitment logistics in cooperation with the HR team
  • Preinduction preparation documentation Preinduction admin support to the HR team
  • Makes sure that the work space computer and other equipment mailbox and appropriate installed software are ready for the new employee's start day
  • Conducts newemployee orientation: introduction to the office employees Prepares paperwork required for new hires and establishes personnel file Partial coordination with external recruitment partners
  • Plan coordinate and Followup on recruitment Budget Hiring needs identification with Linemanagers Support for Job description updates
  • Support for Staff requisition forms Supports for Job postings Relations with recruitment agencies Screening resumes
  • Supports in the hiring logistics process (interviews scheduling) Supports in the relations with local employment authorities Posting job to local employment authorities
  • Preadmission preparation HR Induction inhouse
  • Probation period support and followup

Learning & Development

  • Coordination of local learning and development initiatives Schedules participants into training sessions
  • Tracks participants and training records
  • Enters training records into database and maintains it
  • Tracks the implementation of the employee performance development plans (PDPs)
  • Tracks the accomplishment of PDP goals

Employee Relations

  • Assists in the development and implementation of the employee handbook policies and procedures
  • Initiate Coordination of Social events
  • Charity
