Job Title

Executive Assistant

  • Perform general administrative duties to support daytoday operations for the Senior Vice President, Market & Communications Europe, Senior Vice President Communications Europe and Senior Vice President, Consumer Marketing Europe.
  • Support business function by responding to complex inquiries from internal and external personnel using proper judgment and initiative to ensure critical issues are handled appropriately
  • Provide phone coverage for SVPs as needed
  • Arrange and coordinate meetings, calendars, and travel for SVPs.
  • Complete travel arrangements for SVPs (and for staff, if required) and prepare, submit and file T&E reports on an ongoing basis using Oracle Financial
  • Coordinate travel arrangements for meetings and conferences, which includes scheduling dates/times, group travel accommodations, equipment and food needs, coordination of contracts and invoice processing with Programme Manager
  • Coordinate logistics for offsite/onsite business meetings
  • Significantly involved in maintaining and tracking departmental reports on an ongoing basis including time and attendance records
  • Order supplies as needed
  • Develop and organize departmental fields and tracking systems to ensure information is accessible to appropriate departmental staff. Keep files uptodate, with Audit supporting documentation updated at all times
  • Prepare correspondence, memoranda, reports, presentations or other assigned documentation in specified software package
  • Assist Programme Manager in preparing and maintaining departmental budget
  • Serve as administrative liaison with others within and outside the company
