    We are now looking for a Senior Back Office Manager, Milan-based, on-site full time, to strengthen our Italian organization at the next possible date.

    About the Role

    Reporting directly to the Country Sales Manager Italy, the Senior Back Office Manager plays a central role in ensuring operational, administrative and customer-facing excellence within the Italian market. This role is particularly suited for candidates with proven experience in medical devices and a deep understanding of tendering processes within the hospital environment.

    Your Responsibilities

    In this role you will be accountable for:

    • Managing tenders and public procurement processes, including preparation of technical & administrative documentation, submissions, clarifications and follow-up activities within the medical device sector
    • Overseeing day-to-day back office operations, including customer service, order processing, invoicing, logistics coordination and financial administration
    • Supporting Sales with consignment & trunk stock management, device tracking and customer agreements to minimize expired products
    • Managing contracts including consignment agreements, bonus schemes, tenders/GPOs, speaker engagements, sponsorships and marketing activities
    • Coordinating suppliers, service providers and external partners, ensuring compliance with local requirements
    • Managing travel bookings, congress preparation, internal meetings and customer workshops
    • Handling office administration, documentation systems, internal reporting and archiving
    • Acting as the operational interface between Italy and HQ functions (Finance, Customer Service, Logistics, Marketing)

    We are looking for someone who

    • Has 5+ years of experience in a similar Back Office role within the medical device industry
    • Has solid knowledge of tenders, hospital procurement and back office procedures
    • Has experience in administration, finance tools and customer service processes
    • Is located in Milan (or within commuting distance)
    • Is fluent in Italian and English
    • Is structured, detail-focused, reliable and enjoys cross-functional collaboration
    • Has strong problem-solving capabilities and sense of accountability
    • Works on-site full time from our Milan office
