Role description


We are looking for a Receptionist to manage our front desk and the spaces (offices, meeting rooms, guest house) into our building.

He/She will welcome guests/ employees and will coordinate front-desk activities, including distributing correspondence. Strong communications and interpersonal skills are kindly required as this a Customer Service role. He/she should also be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus. Last, but not least, a receptionist's duties and responsibilities are to ensure the front desk welcomes guests positively.


Main activities

  • Welcome and greet guests/employees.
  • Answer and direct incoming calls.
  • Ensure proper room allocation in the guest house.
  • Issue room keys or access codes and direct guests to their rooms.
  • Maintain clear and accurate records of guest house occupancy.
  • Retrieve mail, packages and documents.
  • Menage the meeting rooms and support the meeting organization also during the meeting.
  • Liaise with external workforce including housekeeping and maintenance.
  • Complete and maintain any incident reports, daily activity reports or other reports requested by management.
  • Manage conference room bookings and scheduling.
  • Inform housekeeping when rooms have been vacated and are ready for cleaning.
  • Maintain a neat and orderly front desk and reception area.

Desired qualifications

  • High school diploma or equivalent
  • Fluent Italian and English
  • Guest/customer relations experience, preferably in a hospitality environment (at least 3 years of experience).
  • Customer service orientation.
  • Attention to detail and accuracy.
  • Planning and organizing.
  • Ability to multitask and prioritize.
  • Effective verbal and written communication skills.
  • Ability to handle stress and stay calm under pressure.
  • Conflict resolution skills.
