The companies are scaling quickly and operate in highly dynamic environments, working closely with investors, customers, and distributed teams.About the Role
We are looking for a high-ownership Executive Assistant to work directly with the CEO across two companies. This role goes beyond traditional administrative support and sits at the center of operations, communication, and coordination.
You will have full visibility into how startups are built, how decisions are made, and how products, investors, and customers are managed.
This is an ideal opportunity for someone who thrives in fast-paced environments, enjoys variety, and wants to develop strong operational and business exposure, with potential growth into operations, product, or other strategic areas.
ResponsibilitiesManage inboxes and calendars with a high level of organization and prioritization
Maintain CRM systems and contact databases
Draft and review emails and written communications for investors, customers, and vendors
Track projects, follow up with team members, and ensure deadlines are met
Coordinate activities and information across two companies
Handle customer service inquiries and route issues appropriately
Prepare, review, and organize documents and internal materials
Build and document SOPs (Standard Operating Procedures)
Continuously improve workflows and internal systems
Requirements
Must Have
Fluent English, written and spoken, with the ability to adjust tone for investors, vendors, and customers
4+ years of professional work experience as an Executive Assistant, administrative, or operations role
Strong ownership mindset and reliability
Excellent attention to detail
Proactive communication style
Ability to build and document processes
Reliable internet connection with a backup plan
Quality camera and video setup for calls
Availability to work during US Pacific Time hours
Modern PC or laptop capable of handling multiple applications simultaneously (16GB RAM preferred)
Nice to Have
Project management experience
Startup or fast-paced company experience
Experience using Notion or similar tools
SaaS or software company background
Previous experience
Strong judgment, initiative, and tech adaptability
Basic numeracy and comfort working with data
Quality headset and a quiet, professional workspace

Monthly salary range between USD 1,500 and USD 2,200, depending on seniority and experience
100% remote role as an independent contractor
10 days of PTO per year plus US holidays
